So I built a simple system to write faster and publish more.
Here’s how it works.
Why I needed a system
Let me tell you the truth.
I don’t have hours to write.
I have a full-time job and a family.
But I still wanted to write every day.
Not because I’m trying to go viral.
But because I want to grow a real online business — one piece of content at a time.
So I built a process that helps me:
Stay consistent
Keep things simple
Publish 3+ articles every week
And I do it in 30 minutes a day.
My 7-step writing system
This is what I do almost every day.
1. Draft in Google Docs (15 min)
I set a timer and just write.
No editing. No overthinking.
I go for short, focused stories — not long essays.
2. Fix the wording with DeepL
English isn’t my first language, so DeepL helps me find better words.
3. Polish grammar in Grammarly
I run my text through Grammarly to clean up grammar and spelling mistakes.
(You can also use the browser extension — works great.)
4. Check the grade level (important)
If I want to make it easier to read, I run it through Hemingway Editor.
My goal? Grade 3. Simple level to read.
5. Write a better title
I use Headline Analyzer to test and improve the title.
It helps me write something that makes people want to click.
6. Capitalize my title
I paste the final title into Capitalize My Title.
It formats it automatically.
7. Publish on Substack
I paste the final version into Substack, add links and a short summary.
Then hit publish.
Done.
Why this works for me
I don’t try to be perfect.
I just focus on showing up daily and getting better by doing.
This system removes the friction.
And here’s the best part: Once you do it a few times, it becomes second nature.
